AITCAP 2023 – Tickets Terms and Conditions – Plain Language

Plan Language Version of Ticket Terms & Conditions​

 

This is a plain language description of the terms and conditions for the Accessible and Inclusive Tourism Conference which you agree to when you buy a ticket.

 

It is designed to provide an overview of the official terms and conditions to help you understand. This page is not a legal document, so if you have any concerns about the terms and conditions you can ask someone to read the original page with you. 

1. Privacy

When you buy a ticket we ask some questions about you. We will follow all the rules about what we do with the answers you give us. 

 

We will tell you why we are asking questions, and only use your answers for those reasons. 

 

We might email you after the event to ask what you thought about the event. 

 

If your ticket includes access to videos of the sessions, we will keep some of your details so that you can watch those videos again when you want. 

 

We will make sure that only people who need to see your answers can see them, and to protect them from anyone trying to see them illegally, but we can’t accept any responsibility if something happens that we can’t prevent. 

 

We might share your name, email address, and company with some other organizations that are helping us run this event. 

 

There will be people taking photos and video. We are allowed to use these photos or videos unless you tell us in writing you don’t want us too.

2. Liability

We might have to change or cancel the event if something comes up that means we can’t run it the way we planned. 

 

We will tell you on our website and by email if anything changes. 

 

If we change the time or place, you will be allowed to get a refund if you don’t want to go at the new time and place. 

 

The things that people say or give you at the event are their views, not ours. 

3. Use of content

The information you get at the conference is for you to use, and not for you to sell.  

 

You can’t use it anywhere else without asking us. 

 

We aren’t responsible for anything bad that happens to you at the event, or while you are going to and from the event, except for things that are covered by the law. 

4. Code of Conduct & COVID-19 Safety

You need to follow any rules the venue tells you to to keep anyone safe. 

 

If we think anyone is doing the wrong thing we can talk to them, or tell them to leave the event. 

 

We want everyone to feel safe at our event. If someone is acting in ways that people don’t feel safe we will take some actions to try and address this.

 

We will ask people to follow whatever rules the government has set at the time for the event for covid precautions. 

 

Because some people at the event might be high risk for covid, we ask that you wear a mask whenever you are inside. We also think this is a good idea to protect you. 

 

We think it’s a good idea if you take a RAT test before you come, and stay home if you are feeling sick. 

5. Substitution and Cancellation Policy

We only offer refunds for the ticket cost, not for any other money you might have paid to come to the event. 

 

We can’t refund the booking fee even if we do refund the rest of the ticket cost. 

 

You can’t give you ticket to someone else, but if you email  aitcap@getaboutable.com before April 11th 2023 then we will decide if we are okay with giving the ticket to them instead. 

 

If you get a free ticket, you can’t refund it for money instead. 

 

You can’t get a refund after the event has started, even if you don’t come. 

 

If we are giving you a refund we will pay it back in the same way you paid. 

5.A. For Registration to the Conference, excluding all Side Events

 

5A.1. For In-Person Attendees and Attendees that hold COMBO tickets for In-person AND Online Event Attendance

If you can’t come and want a refund, please email us at aitcap@getaboutable.com

 

If you cancel before March 28th we will refund the amount you paid to us, but not the amount that went for the booking fees. 

 

If you cancel between March 28th and April 14th we will refund half the money you paid us, but not the booking fees. 

 

If you cancel after April 14th we can’t give you a refund.

5A.2. For Online Attendees

If you can’t come and want a refund, please email us at aitcap@getaboutable.com

 

If you cancel before April 27th we will refund the amount you paid to us, but not the amount that went for the booking fees. 

 

If you cancel after April 28th we can’t give you a refund.

5.B. For Side Events

If you can’t come and want a refund, please email us at aitcap@getaboutable.com

 

We need to set rules about when you can get a refund because if you cancel too close to the event we have already paid for things we can’t get refunds on. 

 

If you cancel between March 28th and April 14th we will refund half the money you paid us, but not the booking fees. 

 

If you cancel after April 14th we can’t give you a refund. 

 

We might consider something else if you email us before April 26th.

5.C. For Complimentary Registrations excluding Companion Card Registrations

 

If you got a ticket for free the rules about cancelling or giving it to someone else are the same. 

5.D. For Companion Card Registrations

A companion card is so people who can’t go places without someone to help them don’t have to buy two tickets. 

 

If someone has a companion card we can give them a free ticket, as long as the person with the companion card has a ticket already and shows us a copy of their companion card if we ask. 

 

The companion card ticket can be used by whoever is supporting the companion card holder. 

 

The companion card ticket will be cancelled if the companion card holder’s ticket is cancelled. 

5.E. Cancellation Policy for COVID-19

You can’t get a refund for online events if you have covid. 

 

You can’t get a refund for in person events, but if you show us that you have a positive covid test we will let you watch the recordings instead.
